What we do with your information

Interim version 0.1 · published 28 July 2026 · under review

KALM books deliveries. To do that we need to know who is sending, who is receiving, what is inside and what it is worth — and we have to pass some of that to the company carrying it and to customs. This page says exactly what we collect, who sees it, how long we keep it, and how to get it back or get it removed.

It is written to be read, not to be survived. If anything here is unclear, that is our fault and we would like to hear about it.

Who is responsible for your information

KALM is a trading name of Oliver’s Craft Ltd, a company registered in the United Kingdom. Oliver’s Craft Ltd decides how the information described here is used, and is the company you contact about it.

What we collect, and why

We only ask for what a delivery cannot happen without. There is no advertising profile and we do not sell anything to anyone.

  • Who is sending and who is receiving: name, company, address, email and phone number. The delivery company needs these to collect and deliver, and the address is printed on the label.
  • What is being sent: a description of the goods, what they are made of, what they are for, where they were made, their weight and size, and their value. Customs authorities require these for anything crossing a border.
  • Tax and identity numbers where a destination requires them for customs, such as a VAT or import registration number, or an identity number for a personal import.
  • Your email address when you sign in with a one-time code, so we can show you your own bookings and nobody else’s.
  • A payment reference. Card details are entered with our payment provider and never reach us — we hold only the reference and the amount.
  • The basic technical record of a request to our site, which we use to keep the service available and to stop abuse.

Who we share it with

Only the people who need it to move your delivery, and only the part they need.

  • The delivery company carrying your shipment: FedEx, or CourierIT for deliveries inside South Africa. They receive the collection and delivery details and the customs description.
  • Customs authorities in the countries the delivery passes through, in the documents the law requires.
  • Our payment provider, to take the payment.
  • The email provider that sends your confirmations, updates and documents.
  • Someone else you name on the booking — for example a receiver you ask us to update, or a person you ask to supply a missing customs detail. They see only what their part requires, never your price and never another party’s details.

Information that leaves the country

A cross-border delivery cannot work without sending information across a border. Where a delivery involves the United Kingdom and South Africa, details of that delivery move between the two, and where it involves other countries, the same applies to those.

For deliveries touching South Africa we treat that transfer as necessary to perform the delivery you asked for, which is the basis South African law provides for it. For the United Kingdom and the European Union the same transfer is necessary to perform our contract with you.

How long we keep it

A booking record, its documents and its customs declarations are kept for at least seven years. That is not a preference: customs and tax law in the countries we operate in requires a shipment’s records to be produceable for that long, and a declaration we could not produce would be our problem and yours.

Information that is not part of that legal record — a draft you never booked, a saved address you no longer want — is deleted when you ask.

Asking for a copy, a correction, or a deletion

Email hello@kalm.oliverscraft.com and say what you want. You can ask for a copy of what we hold about you, a correction to anything wrong, deletion of anything we are not legally required to keep, and for us to stop sending you anything that is not about a delivery you booked.

We handle these by hand today, and we will confirm to you when it is done. We are building a self-service version; until it exists, the email is how you ask, and it works.

If you are not happy with how we handled it

Tell us first — most things are a misunderstanding we can fix quickly. If you are still not satisfied, you can complain to the Information Commissioner’s Office in the United Kingdom, or to the Information Regulator in South Africa if your information was handled there.

Changes to this notice

This is version 0.1, published 28 July 2026, and it is an interim notice: it is accurate about what the system does today and it is still under review. When something material changes we will publish a new version here with a new date, and we will tell you if the change affects a delivery you have already booked.
